Privacy Policy

This Privacy Policy explains what information the HitchBalance app and the hitchbalance.com website handle, and what we do with it. "We", "us" and "our" mean RealClientAI LLC, the publisher of HitchBalance. "HitchBalance" or "the app" means the HitchBalance app for iPhone and Android and the web version at hitchbalance.app. "The website" means hitchbalance.com.

The short version

  • HitchBalance has no accounts. You never sign up, log in, or give us your name to use it.
  • Your schedule, PTO ledger, pay settings and everything else you enter stay on your own device. The app does not send them to us.
  • We do not use analytics, advertising, tracking or third-party software kits in the app.
  • In-app purchases are processed by the app store you use (App Store, Google Play or Galaxy Store). We never see your payment details.
  • The website sets no cookies. If you use the support form or email us, we receive what you send and keep it only as long as needed to help you.

1. Who we are

RealClientAI LLC publishes HitchBalance and operates hitchbalance.com and hitchbalance.app. Privacy contact: support@hitchbalance.com

2. Information the app stores on your device

HitchBalance is a mobile-first application designed for maximum privacy. Your schedule, PTO ledger, and pay settings are stored exclusively on your device. No account is created, and no data is sent to RealClientAI LLC servers.

When you use HitchBalance you enter information such as:

  • your work schedule, shift types, days off, swaps and travel days;
  • your PTO balance, accrual and rollover rules;
  • pay settings and rules, such as rates, overtime rules, differentials, per diem, deductions and withholding percentages;
  • expense, mileage and per diem entries, including any receipt photos you attach where the version you use supports them;
  • display preferences.

All of this is stored only in the app's storage on your phone or, for the web version, in your browser's storage on your device. It is not transmitted to RealClientAI LLC. We have no server that holds your data and no way to see it.

The information leaves your device only when you choose to export a backup file, export a calendar or CSV file, or share a Partner snapshot. If you choose to share a Partner link, you are only sharing a snapshot of your schedule: a read-only copy of your shifts and days off that is transferred to the phone of the person you share it with, lives on that phone, and is not stored by us. All backups are files you create and control; where you save or send them is up to you. Deleting the app from your device will permanently remove all stored data from your local environment.

3. Information we do not collect through the app

We do not collect, track, or analyze your usage patterns. We do not use cookies, tracking pixels, or advertising. The app does not collect your name, email address, phone number, contacts, location, advertising identifier, device identifiers for tracking, usage analytics, or crash reports through any third-party service, and it contains no third-party software development kits. Your device's operating system may send diagnostic or crash information to Apple or Google according to your own device settings; that information goes to them under their privacy policies, not to us.

4. Purchases

Our pricing model is based on one-time purchases. These transactions are handled directly by Apple and Google under their respective terms (and by Samsung where HitchBalance is offered in the Galaxy Store). No subscription fees, no recurring charges, and no hidden account requirements. The store collects and keeps your payment and purchase records under its own privacy policy: Apple's at apple.com/legal/privacy, Google's at policies.google.com/privacy, and Samsung's as published for the Galaxy Store. We receive no card or bank details and no personal information from the store. The app checks the store's purchase receipt on your device to unlock the features you bought.

5. Device permissions

The app asks for a device permission only when you use a feature that needs it:

  • camera or photo library, only if you attach a receipt photo where that feature is available; the photo is stored with your data on the device;
  • notifications, only if you turn on reminders;
  • calendar or file access through your phone's share sheet, only when you export.

The app asks for nothing at first launch and works without granting any permission.

6. The website (hitchbalance.com)

The website is a set of static pages. It sets no cookies and uses no analytics, advertising, tracking pixels, embedded videos, third-party fonts or other third-party content.

Server logs. Like almost every website, ours is served by a hosting provider whose servers keep standard access logs: the IP address of the request, the browser type, the page requested and the time. The logs are used by the hosting provider and by us only for security and troubleshooting, are kept for a limited period under the hosting provider's rotation schedule, and are not combined with anything else to identify you. The server is located in the United States.

Support form and email. If you use the form on the Support page or email support@hitchbalance.com, we receive your name if you give it, your email address and your message. We use them only to answer you. The form sends your message to us by email and stores nothing else on the website, apart from a short-lived, anonymized counter that limits spam, holds no personal information and clears itself automatically.

Do Not Track and Global Privacy Control. The website does not track visitors, so there is nothing for these signals to switch off; the site behaves the same whether or not your browser sends them.

7. The web version (hitchbalance.app)

The web version of the app runs in your browser and stores your data in your browser's storage on your device. Clearing that site's data in your browser deletes it. The web version is served by a hosting provider that keeps standard access logs as described in section 6. Nothing you enter in the web version is sent to us.

8. How we use information

We use the information described in section 6 only to run and secure the website and to answer support requests. We do not sell personal information, do not share it for advertising, and do not use it for profiling or automated decisions. Where the GDPR or UK GDPR applies, our legal bases are: taking steps at your request when you contact us, and our legitimate interest in keeping the website secure.

9. Sharing

We do not share personal information with anyone, except our hosting and email providers, which process server logs and support emails on our behalf, and public authorities when the law requires it. Any provider or other party that handles personal information on our behalf must protect it to at least the standard described in this policy.

10. Retention and deletion

  • App data: stays on your device until you delete it. Settings → Reset to blank removes everything in the app; deleting the app removes it too.
  • Partner snapshot: on the recipient's phone until they reset or delete their app.
  • Backups and exports: wherever you saved them, until you delete the files.
  • Support emails: kept while your request is open and for a short period after, then deleted; reply "Delete my data" and we delete them right away and confirm by email.
  • Server logs: kept under the hosting provider's rotation schedule.

11. Your rights and choices

Wherever you live, you can ask us what personal information we hold about you (normally nothing beyond a support email), and ask us to correct it, delete it, send you a copy, or stop using it. Email support@hitchbalance.com or use the Support form. We reply within the time the law allows, normally 30 to 45 days, and may ask you to confirm the email address you wrote from before we act. We will not treat you differently for exercising a right.

California. To the extent the California Consumer Privacy Act applies to us: in the past 12 months we have collected only the categories described in section 6 (identifiers such as name, email address and IP address, and the contents of messages you send us), for the purposes in section 8. We do not sell or share personal information and have not done so, and we do not use or disclose sensitive personal information for purposes beyond what you asked for. You may exercise your rights through an authorized agent by having the agent write to us from your email address or provide your written permission.

European Economic Area, United Kingdom and Switzerland. RealClientAI LLC is the controller of the website and support information described above. You have the rights of access, rectification, erasure, restriction, portability and objection, and the right to complain to your local data protection authority. Our website and support mailbox are in the United States, so information you send us is handled there; the transfer is necessary to respond to the request you made.

Other U.S. states. Residents of states with privacy laws have similar rights to those above and may exercise them the same way. If we deny a request, you may appeal by replying to our response.

12. Children

HitchBalance is not directed to children under 13 and we do not knowingly collect personal information from children under 13. If you believe a child has sent us personal information, email support@hitchbalance.com and we will delete it.

13. Security

Your app data is protected by your device's own lock screen and encryption; we recommend keeping both on and keeping a backup. The website is served only over HTTPS. Backup and export files you create are ordinary files; protect them as you would any personal file. No method of storage is perfectly secure, but because we hold none of your app data, a breach of our systems could not expose it.

14. Changes to this policy

If we change this policy, we post the new version here with a new "Last updated" date and note material changes in the app's release notes. Continued use after a change means the new version applies.
